Shift Templates

Create your Shift Templates and simply drag and drop the shift templates on the employee’s weekly calendar to save time and effort. Shift Templates can be created only in the Admin Privilege Access permitted users for the property.

Group Scheduling

Our portal supports Group Scheduling, where you can schedule Department-wise or Role-wise shifts.

Individual Scheduling

You can schedule individually by clicking on the respective employee's row calendar date.

Drag and Drop

You can also drag and drop the Shift Templates on the weekly calendar of the employee and save time.

Sorting Employees

During the process, you can sort and view employees depending on their Departments / Roles.

Create your Shift Templates and simply drag and drop the shift templates to schedule any employee on the board. You may also schedule the shifts of employees in Group-wise and individually. 

Once the schedule of all employees is done, with a click, you can publish them so that all the concerned employees get a notification and email with a link to accept or request any changes. User facilitated scheduling employees’ shifts from here simply with three options. 

The Scheduling Options in My Shift Notes are as follow:

  • Group Scheduling
  • Individual Scheduling
  • Drag and Drop

Let us know about each of the options in detail below.

This option is to schedule a single employee. This can be done by clicking on the calendar of the employee row on the weekly calendar. If the employee thus selected already has one shift on the selected date, then the policies to the Admin / Scheduler whether to edit the existing shift times or add a new change that does not collide with the current shift. 

This option will not allow you to select edits of a date range as it has optioned instant schedule for the current date only. So, the user is provided a quick link on the dashboard on the Admin / Scheduler to access permitted property employees, like the Manager, and Front Desk Employee, to simply go through the process from their dashboard. There Admin / Scheduler needs to provide a PIN to re-confirm the process and select the employee to Schedule.

However, Admin/Scheduler can override the existing shift by reviewing individually and adding the employee to schedule at their itself.

In any option of schedules, we provide the weekday repeat option, so that, this shift can be repeated on that specific weekday by default. Further Admin / Scheduler can provide a default / special Notes to the shift which will be seen and followed by the employees.

There is a provision of cloning previous shift schedules apart from the shift schedules, which will help Admin/ Scheduler for fast retrieval of data and finish the schedules instantly. However, user can modify the data retrieved and save.

As such this option is suitable for those properties where number of employees are in multiples of 10s and scheduling is the time-consuming process if done manually or even in any of other schedule management software.

 

Individual Scheduling:

This option is to schedule a single employee. This can be done by one click on the calendar of the respective employee row on the week calendar. Here if the employee thus selected have already one shift on the selected date, then the pop notifies to the Admin / Scheduler whether to edit the existing shift times or to add new shift which does not collide with the existing shift. Further it not required to mention that, in entire schedule any back date schedules will not allowed which in practical might be impossible.

So, user provided with a quick link on the dashboard on the Admin / Scheduler to access permitted employee of the property like, Manager, Front Desk Employee, to simply go through the process from their dashboard itself. There Admin / Scheduler needs to provide PIN to re-confirm the process and select the employee to Schedule.

 

This option facilitates a quick performance to save time and efforts of the User at the variant level. This option is suitable for properties where employees are between 5-10. However, this will help the extensive numbered property schedule the current day instantly and publish it.

Drag & Drop:

This option is a simple method where users can mostly schedule any single employee for a specific date. It is possible only when you correctly create shift Templates (to know about Creating shift templates, see the concerned page). We provided a vertical space above the week schedule table where all the shift templates are dynamically retrieved from the masters. You can simply drag and drop the required template from there and drop it on the weekly calendar of the respective employee. Then a pop for the date and time of the template with details of an employee on whose row it is dropped open to enable the user to review and save the schedule.

The standard provision to verify exiting shifts of that employee will also work and accordingly notification in red color, and shift notes for any specific instructions. Once reviewed user can save the schedule.

Next to the Group scheduling action button user facilitated with Swipe View Mode, where the user can swipe the below table. The drop-down under swipe view mode is listed with Show Department Wise to view the employee assigned for shift extended with department numbers. And accordingly, Show Role Wise advanced with a list of roles.

Next tab Clone Previous Week to inform the user that clone can be done only if there are no schedules in the current week. With this functionality, the user can get the previous week’s schedules “As It Is” with one click. The data retrieved will not allow editing before the scheduling effect. Users can make changes and update. It helps regular properties.

Next to this is Publish, which is crucial for finalizing the draft schedules done in any of the (3) methods above. Without publication, the set of schedules remains as a draft without any effect on the employees. Publish is the action method to finalize the schedule, and each employee is notified through their emails duly attaching the table of shift timings for each in the schedule published. The email was provided to employees with a link to submit any objections/requests in return for schedule adjustments. The Manager or the authorized person will get notified through email and dashboard notification to approve or reject the request/objection of such employee—the Employee in the provided link optioned with a text area to type their request or complaint in detail.
